Facilities Manager (Full Time)
Position
Facilities Manager (Full Time 35 hours per week)
Purpose of Role
To deliver efficient and cost-effective facilities management services across the Society and its branch network, liaising as appropriate with landlords, local authorities, contractors and internal customers.To ensure the Society remains compliant from both a regulatory and health and safety and environmental perspective, including the provision of adequate contingency arrangements.
Responsibilities
Facilities Management
- Produce an accurate premises budgets (with supporting justification) and manage and control expenditure within budget, seeking approval where required for non-budgeted items.
- Obtain quotes for the provision of facilities services and maintenance related contracts, reviewing the performance of contractors/suppliers against contract.
- Maintain a list of facility related requests and complete within defined deadlines. Produce and maintain a plan for premises related work consistent with the agreed budget and taking into account available resources.
- Maintain a schedule of routine maintenance related work.
- Maintain a register of the Society’s properties, including ownership, lease obligations, rental commitments, insurance arrangements, supporting the Head of Risk on lease related matters.
- Ensure all mechanical and electrical maintenance is carried out in accordance with legal or recommended industry standards and best practises.
- Project manage refurbishments, renovations and office moves.
- Ensure that Society premises are adequately secured and that all access and control systems are maintained.
- Ensure the structure, décor, security, working environment and utilities of all the Society buildings remain fit for purpose.
Business Continuity
- Maintain the Society’s third party contracts register.
- Ensure the physical disaster recovery site is maintained in working order and remains fit for purpose.
- Support the Head of Risk in devising, implementing and maintaining contingency/disaster recovery plans.
- Ensure that the facilities related procedures are fully documented.
Health and safety
- Ensuring that buildings meet all legislation regarding health and safety.
- To undertake risk assessments where required e.g. in respect of lone working, and review branch and other risk assessments. Provide updates to the H&S committee on the outcome of risk assessments.
- Develop and implement Health, Safety and Security policies in liaison with the Head of Operations.
- Serve as a member of the Health and Safety committee.
- Ensure that all contractors comply with applicable H&S legislation.
- Ensure Health and safety procedures reflects current Health and safety legislation and business needs.
- Ensure that colleagues are trained in and adhere to health and safety procedures. Manage secure waste destruction for Head Office.
- Oversee the recycling of Society waste.
- Ensure the efficient use of sustainable resources.
Skills and Experience

- Knowledge of IT systems and Microsoft Office, in particular Microsoft Outlook and Excel.

Person Specs
Essential:
- Experience of delivering operational facilities management services
- Working knowledge of health and safety in the workplace
- Site property management experience
Desirable:
- IOSH qualification
